Terms and Conditions
These terms and conditions set out the contract terms which you agree to with Nordika Travel, All Iceland LLC.
All Information provided on this website www.nordikatravel.com is to the best of our knowledge correct at the time of publication. We will advise you of any changes that are fundamental to the contractor which we believe will affect your vacation. Please contact us if you have any requirements which are fundamental to your vacation so that we can give you the latest information at the time of booking. These are general terms and conditions. Special terms and conditions may apply for groups, which will be listed in an agreement between the parties concerned.
1. Prices
All prices are quoted in U.S. dollars and are listed per person, based on double occupancy, if not stated otherwise. When the service offering is presented as a package, the quoted price represents a package price and an itemization of individual components cost will not be rendered. Prices can be changed without notice and are not guaranteed until booking is confirmed by Nordika Travel.
2. Booking
The person making the booking is responsible for the party signed for on the booking form. You must be at least 18 years of age to make a booking.
A deposit of 20% off the total trip cost, is required to confirm a land-based trip booking (no flights included). The deposit payment will be applied to the final cost of your trip. The final balance must be received by us no later than 9 weeks prior to the trip departure date. If you do not pay the full cost within the time specified, we reserve the right to cancel all arrangements made on your behalf and retain anything previously paid.
Even though the main passenger is responsible for the total booking, other passengers may pay for the booking or part of the booking. Each paying person must sign a Confirmation booking form and a credit card authorization form.
When booking a trip which includes flight segments (international and/or domestic), a payment of the deposit and the cost of the full airfare is required to guarantee the flights. Most airfares are non-refundable and non-changeable. If booking a cruise or other items operated by our partners stricter payment rules may apply. Most cruises require full payment 90 days prior to departure. Stricter payment rules apply to Greenland tours which include flight segments. We will inform you at the time of booking.
No booking is confirmed until payment has been received and processed by Nordika Travel and Nordika Travel has confirmed the booking.
3. Payment
A full payment for the airfare is required at the time of the booking in order to guarantee the flight(s) if flight(s) is part of your package, domestic or international. Some of our partners require a stricter payment schedule. For other trips the balance must be received by us no later than 9 weeks prior to departure. We hold your deposit towards the full cost of the package tour. If you do not pay the full cost within the time specified we reserve the right to cancel all arrangement made on your behalf and retain anything previously paid. Please note that some of our partners may require stricter payment schedules.
4. Payment method
Please note that final payment must be processed 9 weeks prior to departure date. We accept all major credit and debit cards. A payment with a bank transfer or a personal check is possible.
5. Price guarantee
We reserve the right to notify you of any increase in advertised prices before accepting your booking. Once you have made the booking the price is fully guaranteed and will not be subject to any additional surcharges. Optional excursions not paid for may be subject to price changes by the supplier. All prices are guaranteed in US dollars.
6. Cancellations by Client
If you need to cancel your trip, please let us know as soon as possible. We will have to charge you for any losses we incur because of your cancellation. Please note the nonrefundable air tickets, non-refundable cruises, non-refundable hotel costs and other non refundable items with stricter payment and cancellation rules will be charged at 100%. Cancellation will only be accepted in writing (email). Some of our partners have a different cancellation schedule. We use different partners. We use mostly small quality local firms for tours.
The other vacation package charges will be charged for as below:
a) Cancellation by Individual Travelers on Road Trips and Private/Custom Tours
Maximum cancellation fee for “refundable services”:
Up to 6 weeks prior to departure: Deposit or 20% of the tour package cost. Deposit is always non refundable as it covers Nordika Travel service fees, such as booking and merchant fees.
4-6 weeks prior to departure: 40% of the tour package cost.
2-4 weeks prior to departure: 60% of the tour package cost.
0-2 weeks prior to departure – 100% of the tour package cost.
b) Cancellations by Individual Travelers on Guided Bus Tours
Maximum cancellation fee for “refundable services”:
Up to 9 weeks prior to departure: Deposit or 20% of the tour package cost. Deposit is always non refundable as it covers Nordika Travel service fees, such as booking and merchant fees.
7-9 weeks prior to departure: 50% of the tour package cost.
5-7 weeks prior to departure: 60% of the tour package cost.
0-5 weeks prior to departure – 100% of the tour package cost.
c) Cancellation for Group Booking Arrangements with 5 hotel rooms or more.
Maximum cancellation fee for “refundable services”:
Cancellation of a group arrangement, wholly or partially, must be made no later than 120 days before arrival. For cancellation, more than 120 days before arrival, the deposit will be charged and is non-refundable.
For a cancellation of a group arrangement from 119 up to 90 days before arrival, the Client will be charged 50% of the full package price.
For a cancellation of a group arrangement less than 90 days before arrival, the Client will be charged the full package price.
7. Cancellations or alteration by Nordika Travel
We will only cancel your trip or alter it if forced to. The cancellation will take place not later than one month prior to the departure date. Where cancellation is made because of circumstances beyond our control by force majeure no compensation will be paid.
If a tour or a leg of the trip needs to be cancelled or altered because of our supplier’s cancellation we will offer a similar trip or similar accommodation.
8. Changes by the customer
The customer may alter their booking if it is possible. An administration fee of $75 per person will be charged on top of a supplier’s administration fee. Additional services can be booked and all related costs will be invoiced to the customer and no further amendment charges will be made.
9. Passports
U.S. citizens must be in possession of a valid passport when traveling to Iceland. Iceland is a party to the Schengen Agreement. This means that U.S. citizens may enter Iceland for up to 90 days for tourist or business purposes without a visa. According to the US Department Of State Website in February 2024, Your passport validity is 'Three months required, six months recommended beyond your planned date of departure from the Schengen area'. You also need to show that you have sufficient funds and a return airline ticket. For further details about travel into and within Schengen countries, please see more information about traveling to Iceland. For the most current visa information, contact the Embassy of Iceland at 2900 K Street, N.W., Washington, D.C. 20007-1704, tel: 1-202-265-6653. Information can also be obtained from the Icelandic Directorate of Immigration website (link: https://island.is/en/o/directorate-of-immigration (available in English). The website: https://travel.state.gov/content/travel.html provides up-to-date entry requirement information for all travelers from the US.
Non-US Citizens should consult the appropriate consulates for information on visas and other necessary requirements for the countries to be visited.
It is the customers’ sole responsibility to verify travel documentation is correct and up-to-date. All Iceland LLC is not responsible if the passenger is refused entry to Iceland.
10. Liability
Nordika Travel, All Iceland LLC declares all tickets, vouchers, and coupons issued by the company and all arrangements for transport and accommodations made by the company, are made upon the express conditions that it shall not be liable for any injury, damage, loss, accident, delay or irregularity which may occur either by reason of defect in any vehicle or through the act of default of any company or person engaged in conveying the passenger or carrying out the arrangements of the tour, or otherwise in connection therewith or of any hotel proprietor or employee. Nordika Travel can accept no responsibility for losses or accidental expenses due to delay or changes in schedules, defaults, over-booking by hotels, passenger sickness, weather, natural disaster, volcanic eruptions, strikes, war, quarantine or other causes or irregularities outside Nordika Travels control. All such losses or expenses will have to be borne by the passenger.
Nordika Travel, All Iceland LLC is released of liability for consequences of the personal activities of any passenger, who, as a consenting adult, is deemed personally responsible for decisions concerning conditions of health, safety, fitness for any activity in which the passenger participates.
Nordika Travel reserves the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise.

11. Complaints
Nordika Travel does it´s very best to make your stay in Iceland and other destinations as enjoyable as possible. We strive to meet your expectations of our service. If however you find a reason to complain about the hotel, the car service, the excursions – just anything, please inform the relevant party immediately so the cause can be corrected. If our partner cannot solve your problem please contact Nordika Travel staff immediately. Please bear in mind that once the trip has been completed Nordika Travel cannot make any changes or refunds.
